Invoice Management Guide

The Invoice feature in our SaaS is designed to help cleaning companies manage their billing process with ease. With this feature, you can create, send, and track invoices for your customers while keeping all payment-related details organized. This ensures a seamless and professional approach to payment handling.

Overview

The invoice dashboard provides a clear interface to manage all your invoices. From here, you can view created invoices, create new ones, and perform actions like editing or sending invoices to customers. I have included an overview image to give you a glimpse of the dashboard layout.

How to Create an Invoice

  1. Locate the Create button on the invoice dashboard. We have an image showing this button below.

  3. Click the button to open an overlay. The overlay has one option: Create Invoice. We have an image of this overlay below.

  5. Select Create Invoice to open the form for invoice creation. The form requires the following details:
    • Invoice Title: Enter a title for the invoice.
    • Service Offered: Describe the service being billed.
    • Select Customer: Choose the customer from your customer list.
    • Select Payment Method: Choose the payment method for this invoice.
    • Amount (in dollars): Enter the billing amount.
    • Due Date: Specify the payment due date.
    • Discount: Add any applicable discount.
    • Additional Details: Provide any extra information relevant to the invoice.

  6. After filling out the form, click the Save button to create the invoice.

Once the invoice is created, it will appear in the dashboard. I have an image showing a newly created invoice.

Managing Invoices

Each invoice includes a 3-dots menu beneath it for managing actions. I have an image showing the 3-dots menu and the overlay that appears when it is clicked.

3-Dots Menu Options

  • Preview: View a detailed preview of the invoice.
  • Delete: Remove the invoice permanently.
  • Edit: Make changes to the invoice details.
  • Mark as Paid: Mark the invoice as paid once the payment is completed.
  • Send to Customer: Email the invoice directly to the selected customer.
  • Download: Download the invoice to your system as a PDF.
